Job Summary | The Procurement Agent is responsible for ensuring that supplier data is accurate, up to date, and in compliance with Institute policies. The Agent assists with evaluating and negotiating small dollar procurements, consistent with Rensselaer policies. Under the supervision of the Associate Director of Procurement, the Agent works closely with E-Business prioritizing master agreements, supplier enablement, and other contract opportunities. Job Description:
Information Technology Services (ITS) at the University at Albany seeks applicants for a Central Business Office Associate, who is responsible for coordinating/processing several operational activities in the ITS department. The Central Business Office (CBO) serves as the hub for all ITS finance and operations. The CBO Associate is an essential member of the team and interacts with multiple departments across the university, including Accounting, Asset Management, Facilities, Human Resources, and Purchasing. The successful candidate enjoys a fast-paced, rapidly changing environment and getting out of the office to visit various locations on campus for equipment deliveries and receiving/disposal of assets. This entry-level position provides excellent opportunities for professional growth.
The successful candidate is extremely organized, has an eagerness to learn, and a strong attention to detail, with the ability to point out errors or inconsistencies in data. They are encouraged to think about process improvements, leveraging the various tools available. They will conduct their work with a high degree of integrity and a customer service mindset. The CBO Associate will have excellent communication skills and the ability to forge collaborative relationships. They are equally comfortable working with limited supervision or with a team.
Primary Responsibilities:
Software Licensing:
- Review and respond to software license requests from faculty/staff/students.
- Distribute licenses in accordance with University and ITS policies and procedures.
- Maintain accurate records of software purchases, activation codes, distribution/assignment of software licenses, and chargebacks to departments.
Billing:
- Process monthly billing for ITS activities and track receipt of payments.
- Investigate any discrepancies in revenue.
Asset Management:
- Work collaboratively across ITS to ensure accurate asset management needs and processes are fulfilled in a timely matter.
- Ensure all purchases have the appropriate Asset Management forms/tags when received and disposed of.
- Record accurate information in the Asset Management database, including the addition and removal of assets.
Additional/Other Responsibilities:
- Manage relationships with staff from ITS and other departments on campus to facilitate transactions for all Central Business Office activities.
- Serve as a backup for coverage of reception area.
- Perform all operations in compliance with SUNY and New York State financial / procurement policies.
- Handle confidential information and matters in a professional manner.
- Identify opportunities for automation and process improvements.
- Be available to provide scheduled support and consultation outside normal business hours, including occasional evenings, holidays, or weekends, within reasonable professional obligation and expectation.

Requirements:
Minimum Qualifications:
- An associate degree at time of hire from a college or university accredited by a U.S. Department of Education (DOE) or internationally recognized accrediting organization.

Position Purpose: Utilizing a team approach, exercising sound judgment, and exemplifying a positive attitude, the Operations Manager manages the day-to-day operations of the Residential Education (ResEd)& Housing Office, including Greek Leadership and Minerva Programs. Serves as the main receptionist and interacts with students, student staff, parents, and other campus constituencies daily. Identifies and articulates student needs and collaborates with appropriate residential staff to provide an effective institutional response. Keeps sensitive information private and confidential. Supports the Associate Director of Housing Operations with all operational tasks associated with the office. Carries out the mission of Union College and the Division of Student Affairs.
This position works on site and primarily in person. Additionally, this position may involve occasional evening and weekend responsibilities.
Essential Responsibilities and Duties:
- Administration: Maintains a neat and orderly office environment, befitting a space used as a student resource center. Publishes and maintains an accurate directory of all ResEd staff. Coordinates and/or initiates calendar scheduling as requested; makes sure meeting attendees know the location or zoom link. Supports and implements logistics for ResEd programs and events (ex. catering, space reservations, set-up/tear down). Supports administrative processes such as move-in/out, residence transition periods, life & safety inspections, and roster verifications. Offers to pitch in to help colleagues during crunch times and overlapping deliverables. Provides administrative assistance (ex. calendar management, event support) to the directors, assistant vice president, and other students affairs administrators when needed or requested.
- Customer Service: Manages day-to-day operations (ex. answering phones, managing centralized emails, scheduling, monitoring work study students) for ResEd & Housing and other offices as needed. Opens and closes the office space in line with established hours. Provides initial consultation to student walk-ins and refers as appropriate. Responds quickly to any parent emails and calls as appropriate. Updates voice/email boxes to reflect hours, any special closings, announcements. Models and encourages an inclusive culture of customer service that respects individuals of any background or identity.
- Student Staff Supervision: Works with a designated supervisor to select, train, and supervise work 3 -15 part time student employees. Accounts for and approves student hours in designated online systems. Creates an office hour schedule and ensures student coverage.
- Project Management: Maintains a secure and accurate key system (ex. auditing, logging, ordering replacements). Connects with facilities and key shop contacts on key related items. Manages campus-wide laundry program, including audits and maintenance reports for entire residential areas. Serves as the primary point of contact for the laundry company and maintenance workers. Creates updates to existing laundry programs to ensure overall student satisfaction and reliability.
- Purchasing Support:Oversees processing payments and reconciliations. Tracks spending trends and recommendations as needed to support the budgetary health of the overall program. Supports purchasing through best practices and preferred vendors. Ensures appropriate inventory of supplies and makes orders as needed.
Qualifications:
- Bachelor's degree and/or two to four years of administrative experience, preferably in an educational or related environment, and/or a combination of relevant education, training, certifications, and/or work experience.
- Strong interpersonal and communication skills and ability to work independently in a fast-paced environment

Job Summary | The Administrative Specialist independently performs a variety of advanced administrative tasks, in person, for the Center for Biotechnology and Interdisciplinary Studies (CBIS). Athletics Equipment Manager
Supervisor: Assistant Director of Athletics - Business Operations
Pay status and classification: Exempt, Regular full-time. This is a 12-month position.
Position Purpose: Oversees, organizes, and directs all aspects of the athletics equipment area in support of the mission and core values of Union College. Union College sponsors 26 intercollegiate sports, 24 in Division III, with Ice Hockey competing at Division I.

Essential Responsibilities and Duties:
- Operations: Manages the day to day services of the athletics equipment room. Coordinates laundry room operations with coaches to ensure needs are met. Maintains inventory for accurate equipment and apparel records. Oversees distribution, collection and maintenance of records. Collaborates with Hockey Equipment Manager to ensure successful oversight of services for programs.
- Safety: Ensures proper fitting and adjustment of equipment for intercollegiate programs to provide a safe environment for student-athletes. Ensures all equipment and apparel is ready for safe use and remains current with industry standards for safety. Successfully maintains Athletic Equipment Manager Association (AEMA) certification.
- Administration: Oversees the purchasing of equipment and apparel for intercollegiate sport programs. Collaborates with coaches for program needs, create purchase orders, projecting apparel and equipment budgets. Builds relationships with athletics vendors. Continually evaluates policies and procedures to ensure effectiveness of equipment room operations. Hires, trains, supervises and evaluates staff of work-study workers. Adheres to NCAA, College and athletic department policies. Pitches in to assist colleagues as needed.
Qualifications:
- Bachelor’s Degree with a minimum of 3 years of successful experience in athletics equipment operations and/or a combination of relevant education, training, certifications, and/or work experience, including football and ice hockey.
- Knowledge of maintaining equipment for ice hockey and football to ensure safety.
- Athletic Equipment Managers Association (AEMA certification) or the intent to complete the certification once eligible.
- Ability to work a flexible schedule including evenings and weekends for equipment operations at practices and games, which include home and away contests.
- Ability to lift moderately heavy items (up to 50 lbs.), and stand, bend and stoop for extended periods of time.
- Must possess or obtain a valid New York State driver’s license.
- Thorough understanding and working knowledge of federal, state, local, and NCAA, rules, policies and procedures.
- Strong oral and written communication skills, including attention to detail.
- Effective computer skills for maintaining accurate records, budget forecasting and purchasing of equipment and apparel.

Union College
Officially chartered in 1795, Union College is the fifth-oldest liberal arts college in the country. Located in the Capital District of New York State, Union is a highly selective residential and undergraduate college, home to 2,200 students and 220 faculty, and offering 44 majors. Union was the first liberal arts college to rethink the traditional liberal arts education and adopt an engineering curriculum.
